UK GDPR and the DPA 2018 require you to hold personal data no longer than necessary — but most Odoo databases keep everything forever. This module manages how long records and attachments are kept, then purges them safely when their retention expires, with a full, immutable audit log for accountability. It complements a GDPR privacy app by adding the retention and purge engine: transparent schedules, legal-hold protection and an auditable purge trail.
Key Features
Per-model retention policies
Define a retention period (days, months or years) per document type, with a configurable base date field and a recorded legal basis for the schedule.
Four purge actions
Choose anonymise (blank named fields), delete attachments, archive or delete the record — the right disposal for each data type.
Per-record tracking
Each governed record gets a retention record with a due date computed from its base date plus the policy period, and an overdue flag for monitoring.
Legal hold
Flag records under legal hold and they are never purged, regardless of due date — protecting data needed for litigation or investigation.
Scheduled, reviewed purge
A scheduled job evaluates due records and applies the action, with an optional manual review wizard so a DPO can preview and approve purges before they run.
Immutable audit log
Every purge writes a who / what / when / why log entry that cannot be edited, plus a per-policy compliance report for DPO reporting.
