Notary & Witness Log (Remote/In-Person) — state-compliant notary journal, ID verification capture and RON session metadata
Key Features
Sequential state notary journal
Sequential state notary journal — each commissioned notary gets their own continuously numbered journal book; entries cannot be deleted once completed, only voided with a documented reason, mirroring paper-journal statutes.
Per-state rule engine
Per-state rule engine — built-in recordkeeping requirements for all U.S. states (journal mandatory, thumbprint required, statutory maximum fee per act) that validate each entry and flag anything a state auditor would reject.
Notarial act catalog
Notarial act catalog — acknowledgments, jurats, oaths/affirmations, signature witnessing, copy certification and protests, each with the correct evidentiary requirements.
Signer identity capture
Signer identity capture — record how each signer was identified (personal knowledge, credible witness or satisfactory documentary evidence) with the ID type, masked ID number, issuing authority and expiration date, and get an automatic warn
Right-thumbprint capture
Right-thumbprint capture — attach the signer thumbprint image on entries in states that require it, enforced before completion.
Witness log
Witness log — record subscribing/attesting witnesses to a signature with their names and addresses, linked to the entry.
RON session metadata
RON session metadata — for remote online notarizations, log the platform, session id, credential-analysis and knowledge-based-authentication results, audio-video recording reference and the retention period the state requires.
Fee compliance
Fee compliance — record the fee charged and get warned when it exceeds the state's statutory maximum for that act.
Commission tracking
Commission tracking — store the notary's commission number, jurisdiction, bond and commission expiration, with a scheduled reminder before it lapses.
Journal report wizard
Journal report wizard — export a signed date-range journal report for an audit, a court subpoena or a commission renewal, with per-act totals.
Full chatter & activity tracking
Full chatter & activity tracking — every entry and commission is mail threaded so the history stays with the record.

Why Choose This Module
Most states that require a notary to keep a journal are strict about what the entry must contain: the date and time of the act, the type of act, a description of the document, the name and address of each signer, the method used to identify the signer, the fee charged, and — in several states — the signer's right-thumb print. This app enforces those fields before an entry can be marked complete, warns when the notary's commission is expired or the signer's ID has lapsed, and keeps each notary's entries in their own sequential book just like the physical journal statutes require.
